Airport transfers with surfboards: questions to send ahead

Send dimensions, passenger numbers and pickup details in one message so a transfer provider can confirm the vehicle it will actually send.

An airport transfer quote is only useful if it includes the equipment you will bring. Before contacting a driver, measure the packed board bag and count all other luggage. Include the number of boards as well as the number of bags: one unusually wide multi-board bag may need a different arrangement from several slim day bags.

Put the details into a single message. State the flight number, arrival date, passenger count, accommodation address and the length, width and depth of each board bag. Say whether the board has fixed fins if that affects its packed shape. This avoids a sequence of short messages in which the equipment detail gets separated from the actual booking.

Ask for confirmation, not a hopeful reply

A reply such as 'we often carry surfers' does not confirm your load. Ask whether the proposed vehicle can carry the stated bags with every passenger seated and belted normally, and whether the quoted price includes that arrangement. Find out if the provider is assigning the vehicle itself or passing the booking to another driver.

Confirm the pickup point and the contact method for delays. Large airports may have separate meeting areas for different types of transfer. Ask whether waiting time starts from the scheduled landing, actual landing or another event, and read the resulting charge terms. These details matter more than a vague promise that someone will be waiting.

For the return journey, give the departure time and ask what pickup time the provider proposes. Include oversized-baggage check-in requirements from the airline rather than using the time that worked on a previous trip without a board.

Keep the agreement usable on arrival

Save the confirmation where it can be read offline. Include the provider's contact details and the exact accommodation entrance, especially if a property has more than one gate. Share the same information with the other travellers so the person carrying the board does not also have to manage every message.

If the arriving vehicle cannot carry the agreed load properly, contact the provider before setting off. Do not accept an improvised arrangement that obstructs occupants or depends on holding a board through an open window. A written equipment confirmation makes the problem clearer and gives the provider a defined booking to fulfil.
